Multi-Channel Publishing
Created 23 Jul 2026
With Multi-Channel Publishing (MCP), a single publication can be prepared for delivery to multiple external systems.Once configured, the exports are generated automatically as part of the publication workflow, so no manual export process is required for each issue. What is it used for? Multi-Channel Publishing is used when your publication needs to be delivered to one or more external systems in a specific file format. Common examples include deliveries to libraries or archive systems. Instead of creating these exports manually for every publication, the required files are generated automatically according to the configured setup. How is it implemented? To configure the export, we need the following information: Which output format(s) should be generated (for example, EPUB)? What is the preferred file naming convention (for example, title_yyyymmdd)? Where should the generated files be delivered? Once this information has been provided, we configure the export workflow for you. Read more More information can be found on the webpage. If you are interested in using this feature or have questions regarding it, please contact hello@prenly.com.

Webarch – PDF Technical Specification
Created 15 Jul 2026
Guidelines for Uploading PDF FilesCreated: 2026-07-15This document describes the recommended specifications for PDF files uploaded to the Webarch system. Following these guidelines ensures optimal rendering, text extraction, archiving compatibility, and the best possible reading experience.1. Recommended PDF StandardWe strongly recommend exporting files using one of the following formats.Preferred formatsPDF/A-2BPDF/A-2UThese formats ensure that all required resources are embedded in the document and that the file remains compatible for long-term archiving and processing.Alternative supported formatsPDF/A-1BPDF/X-3Recommendation: Whenever possible, use PDF/A-2B or PDF/A-2U.2. PDF VersionRecommended PDF version:PDF 1.7This version provides full compatibility with modern PDF processing engines and ensures correct handling of:TransparencyFontsMetadata3. Archival Format (PDF/A)Files should preferably be exported using a PDF/A archival format.Benefits of PDF/AAll fonts are embeddedColor profiles are includedNo external dependenciesConsistent rendering across systemsLong-term preservationUsing PDF/A significantly improves the stability of Webarch's text extraction and page rendering.4. Font RequirementsAll fonts must be embedded in the PDF.Additionally:Fonts should contain proper Unicode mappings.Avoid subset fonts with incorrect character encoding.Incorrect font mappings may prevent proper text extraction. If fonts are incorrectly mapped, OCR may be required to extract text.5. Compression and OptimizationAvoid uploading heavily optimized or pre-compressed PDFs.Over-optimized PDFs can introduce rendering problems and reduce processing quality.Common issues caused by excessive compressionVisible lines between images or page elementsRendering artifacts in gradients or transparent objectsReduced image qualityBroken layers or flattened contentFor example, browsers such as Google Chrome may display visible lines around images when rendering heavily compressed PDFs.Recommendation: Do not optimize the PDF for web delivery before uploading it to Webarch.6. Image QualityRecommended settings:Use print-quality images whenever possible.Avoid unnecessary downscaling.Avoid aggressive image compression.Print-ready PDFs are generally ideal for Webarch. In most cases, the same PDF used for professional printing is also suitable for Webarch ingestion.7. Best PracticesFor the most reliable processing:Export directly from the original layout software (e.g. Adobe InDesign).Use a standard PDF/A export profile.Avoid manual post-processing or third-party PDF optimization tools.Ensure fonts and ICC color profiles are embedded.Validate the PDF using a PDF/A validator when available.8. Annotate links in Webarch imported issue
Created 24 Oct 2025
One way to annotate a link (text or article linked to an external URL link) is to do it directly in Webarch. Here we easily show you how it is done in the system (should you not have the right rights to do so, please contact hello@prenly.com so that we can help you) 1. Log in to: https://prenly.webarch.se/ 2. Click on the title (if you have several titles, select the one you want to change) 3. Upload the issue that is to be edited; or if it is already imported click on the red field "Not finished" to enter the issue. 4. Once inside Webarch, unless there is already a "picture box" on the text you want to annotate, click on "Box Editor" and then "start editing". Here you now need to drag an "image box" over the text you want to add an URL link to so that a red box is created. When you are done with the box click "save". 5. Once you have saved the "image box", it will change colour to yellow and then light blue. 6. Right-click on the image box and select "Edit external link" in the box that appears. 7. In the pop-up box "External link" paste the URL link you want to add to the text and then click "Ok". 8. When the link is inserted and saved, a "green box with an arrow" appears, indicating that this article has now been correctly annotated with a URL link. Ps. Annotated links via Webarch appears in the PDF mode of the magazine. Now you can exit the issue and let our operators handle it and as soon as it is ready it will be exported to Prenly!

Upload paper in Webarch
Created 24 Oct 2025
Webarch is used for the material to be processed so that the article reading mode becomes available. Start by visiting the page: https://prenly.webarch.se Log in with your login details, and then start uploading material according to the instructions below. 1. The first page after logging in shows your newspaper/newspapers. Select the newspaper you want to work with. 2. To create a new edition, click on "Create new issue" and fill in the publication date in the box that appears and select the PDF's to be uploaded. NOTE: You can only upload one issue per publication date in Webarch. If you upload multiple issues on the same date, only the most recently exported issue will be available in Prenly. In the "External ID" box, you do not need to write anything if you do not want to. It may be that for internal use you wish to write, for example, No. 10, for the edition. In the "PDF actions" menu, you only need to click on "Cut pages at crop marks" IF the edition contains crop marks, otherwise leave it blank.Likewise, "Split spreads into pages", if the edition is structured as spreads instead of pages, click in this box, otherwise leave it blank as well. 3. Once done, click the "Create issue" button and the new issue will be uploaded. Everything is uploaded correctly if the issue looks like a stop light; "red" "yellow" & "green". Now everything is ready and our operators will take over and manage the issue.

PDF Settings
Created 24 Oct 2025
When a new edition is uploaded to Webarch, there are also various settings that you can make with the PDF when uploading. Here we will show you what those settings mean and do. 1. Publish day This means which day you want the issue to be "published" in your e-magazine. The format must always be YYYY-MM-DD, for example, 2022-01-01. 2. External ID (Optional)External ID is completely optional to fill in. This box is only used internally (unless otherwise is said from Helpdesk) and is not something that will be visible to readers of the magazine. An example of what you can write here is the e-papers publish number, the internal name of the issue, or other information you as a customer want. For example, Maybe the magazine is called "Test" and then you choose to enter "NR 1" in the box for External ID, so that you yourself know. 3. Part Most newspapers have only 1 "Part A". You can easily see this in your newspaper at the top of the menu. See the picture below. When you upload a PDF, do not change this box, just leave it as is. 4. File to uploadHere you select the file (issue/magazine) to be uploaded to the system. 5. FileHere you see which file you have chosen to upload, check that it is the correct version, file name and file format. 6. Start Page Indicates which page the PDF starts on. You should not change anything here, just leave it as it is. The PDF should always start on page 1. 7. PDF actions (Optional) 7.1 Cut pages at crop marks Only mark this box if the issue contains cut marks, otherwise, you leave it blank. 7.2 Split spreads into pages If the edition is structured as a spread instead of pages, click in this box otherwise leave it blank. 7.3 Move first page last Marke the box if you want to move the front page to the end of the issue, otherwise leave this box empty. 7.4 Move last page first Marke the box if you want to move the last page to the beginning of the issue, otherwise leave this box empty. 8. Create issueAnd finally, when you have made the desired settings, click on the "Create issue" button to upload the issue to the system. This is where our operators will take ower, and complete the export.

Custom LinkClick Next to open the Link Properties dialog box. In this dialog box, you can set any action, such as reading an article, or executing a menu command, to be associated with the link. You can read the entire guide at Adobe:https://helpx.adobe.com/acrobat/using/links-attachments-pdfs.html In Adobe Indesign Overview of the hyperlinks panel You can create hyperlinks when exporting to Adobe PDF or SWF so that the reader of the document can click a link and go to other pages in the same document, to other documents, or to websites. Hyperlinks that you export to PDF or SWF in InCopy are not active. A source can be a hyperlinked text, a hyperlinked text frame, or a hyperlinked image frame. A target is the URL, file, email address, text, anchor point, or shared target to which the hyperlink leads. A source can only lead to one goal, but an unlimited number of sources can lead to the same goal. Please read the entire guide at Adobe:https://helpx.adobe.com/se/indesign/using/hyperlinks.html
